      • In principle, this would be a possibility in the context of the data stewards strand of the Schools.  (There’s a ‘data science’ strand and a ‘data stewards’ strand.)  We could take this forward by attending the public workshop on 22 May, 14-15 UTC, where they are reviewing the data stewardship curriculum and suggesting DDI materials where we think there would be a good fit. My contact at the Schools specifically encourages us to do so.

 Arofan will take over organizing the tool panel and copy in Alina/Hilde/Hayley in the correspondance. Adrian volunteers to do housekeeping. Christophe to do introductions and moderate questions.

She will play a bit with Nesstar. They want to document Political opinion surveys, many running for years. They may start with CB and migrate to Lifecycle.They need to figure out what suits their needs.

Jane and Anya have asked the slide deck review group to come up with a strategy about which slide decks will be made available in the library first. The full training group will input on the proposals. On a request from Dan, Hilde has sent a list of upcoming webinars, and also a list of webinar topics to discuss and cover after that.

Will see what they come up with, this is an extension of the library.

 Follow up on requests: The training opportunities group offer requesters to discuss their topics and give advice regarding DDI. One requester first wanted to document their data and then changed their mind. Alina has started to compile a spreadsheet with training requests. Once they get the information they need, some don't need to discuss further.

WEBINAR REPORTING

For the first webinar, Arofan wrote a textual report. Jane suggested a spreadsheet-like reporting for stats, but both are good. Clash with the DataVerse conference, and similar information puts a little meaning to the number.

Possible headings for the spreadsheet report:

  • topic of the webinar

  • list it was sent to

  • number of people

  • notes

  • link to the presentation

Engagement, what window was on top etc. is information we have, but all of these don't fit into pure metrics. One thing worth doing is a survey, that might produce the numbers we want to record.

TEXT FOR WEB PAGES/WEBINAR DATES

Agree how to move forward with the text for the DDI web-pages and the content there. Arofan will look into this.

 Alina and Laura work on a feedback survey for the webinars, as well as a list of following webinars.

It's good that DDI Alliance reuses Codata webpages. Laura to send a link for the

The same basic text can be used for the webinar pages, and the only difference is dependent on the audience. The announcement for the event is usually similar.

Agree on the text from Laura's work, not compile something from scratch.

The most urgent is to agree on the date for webinar 3:

early September, Thursday 2nd as a tentative day, to be confirmed in a two weeks term (check with Codata).

We might recruit Larry and Flavio to present on this.

Adrian to deal with the questions and answers. Laura will deal with the introduction.

Next topic planned for mid-October (21st), and the next after that on early to mid November (Thursday 18th). Dagstuhl at the end of September is also a factor. This deck will be work intensive as slides are not written yet.

EDDI should also be considered. All of these are TBC.

Laura's text to be sent to Jared, after fine-tuning by Arofan. Maybe put out a call for other ideas (on

the DDI list, perhaps) and then announce it. Nice to have a list of topics. Webinar attendees to be asked for potential topics to be discussed. Marta to write an email to the DDI users list: topics are DDI related and format is usually 90 mins (and compile topics on a Google doc). Draft email to be circulated before being actually sent.

IDEAS FOR EDDI

Tutorials around EDDI, usual pretty well attended. We could coordinate with other people to turn that into a training fair.

Idea: Get all the vendors (including commercial) and ask them to present their latest and greatest.

Tools event (free and commercial) together. Idea: Arofan to write an email to all creators of DDI tools we know about. For instance World Bank. They can subsequently organize birds of a feather events.

 Such an event can remove one of the webinar series events, not to duplicate (the software one).

 The EDDI conference needs to approve our idea. Tutorial proposals have to be submitted, but this is not a panel or a program, but an entirely different event to be coordinated with EDDI.

 Training fair, not tools fair, but tools can be a part of that? Possible overlap with the EDDI tutorials.

Other topics

Something we haven't done is to look on the technical side of things. Perhaps have a book written (O'Reilly or https://www.ubiquitypress.com/ ), search for potential contributors and a professional editor.

Minutes Training Opportunities Group June, 4 2021

One of Marta’s colleagues would be interested in joining the Training Opportunities sub group. She might attend the next meeting of the larger DDI Training Group. 

Best process for documenting training requests

The proposed procedure :

To have one sheet for each request (model enclosed to this e-mail, created by Hilde).

  • To have one row for each contact attempt, with details and outcome. This is in line with the approach that is used to collect call record data

  • As an identifier, we propose the use of the SID number of the request (second column in the automated spreadsheet).

The results would be public, but not the contact attempts. These should be on Google drive.

Use a starting e-mail, provide first links to introduction materials.

TO DO Alina : provide e-mail model to answer requests. Document the process on the google drive (and store model contact forms there too).

Documentation of webinars/other events

 Jane proposed that the following elements would be documented for the organisation of webinars and other events:

  • the organiser and presenters should be in 2 separate columns. Example - last year CODATA were the organisers for a webinar which we presented at.

  • a column for the conference title (if applicable)

  • a link to the presentation in Zenodo

  • do you want to record the length of the presentation, that is, 3 hrs vs 20 min?

  • looking to the future - do you want to know in-person vs virtual?

The group thinks the number of registrants and of participants, date, duration, presentation, topic, how engaged the participants were (number of questions, for example) is enough information in order to follow our activity.

Are we asked to monitor the outreach activities or the training activities ? Need to clarify more how to work with marketing.

Minutes of DDI Training Opportunities Sub-Group, May 21 2021

Welcome, MARTA ! 

1.Organizational – budget request handling

The sub-group needs the help of a consultant. An idea would be to contact the “Marketing Group” on this subject so that the webinar program moves forward

Decision: Contact Marketing Group.

2. Report from the Data Quality Sprint (see draft of slide deck attached the Hilde’s email from May 20 2021)

Revision went pretty well. Arofan, Hilde, Kaia and Alina were present. Hilde sent the draft revised during the sprint to the whole sub-group. The slides qualify for a 1h30 event with questions. This webinar is for autumn. Marta is willing to present the Statistics Estonia part.  

 3. Webinar and Sprint planning

a.       DDI and FAIR webinar

Simon (CODATA) will be a presenter for the FAIR workshop. Possible dates: 17 and 18 Juin 2021.

Decision: Arofan and Simon will present, Laura will do the introduction. Alina will do the questions. Need to find a date. Arofan will talk to Simon to set up the date. Additional sprint meeting on May; 28.

Laura to send an email to the participants in the sprint on May 28 and see if we can start at 9:30/15:30

Prepare the announcement and reach out to Laura and to the Marketing Group by May 28 2021.

Also, it is important to do a rehearsal using the CODATA GoToWebinar Tool.

Post meeting comment: Timing set to Friday June 18th at  9:00 EDT/15:00 CEST/16:00 EET.

b.       DDI-CDI webinar Sprint meeting

DDI-CDI Sprint on May 24. Will be working on a slide deck that Arofan and Hilde presented at EDDI 2020. A possible presenter would be Darren Bell, but it’s too early to make a decision.

Coordination with the CODATA Summer Training School? Laura thinks it would be helpful to define a specific issue we want to work on. It would probably not be a part of Core-Curriculum, but an additional track on data stewardship.

Laura can distribute the announcements of the events to the schools. She could also contact the co-chairs of the schools on these subjects.

4. Follow-up on training requests and recording of documentation

 Procedure : we get in touch with people contacting us on DDI training issues.

Decision: Alina will get back to Jane with respect to GDPR issues, when it comes to reporting on the follow-up of the requests using the personal data of the solicitors.

Possible solution : provide tracks in a report (for example, listing activities we do and provide metrics. Another idea : provide the date of the follow up and action we took.
