Pre-EDDI webinar: takeaways?
Feedback https://drive.google.com/file/d/1ddSl_7MXVPpIJMsJfu6HKsbAjw5emYKK/view?usp=drive_link
Not what entirely expected/planned, but turned out ok
Two sets of perspectives helpful, well moderated
Seamlessness made it intimidating to ask questions
Very high level
Little time for questions
Alicia wanted it to be less “slick” and less intimidating! ;-)
Blog post with slides and notes
Have post ahead of time with explanation of content, terminology
Example https://blog.archive.org/
Who will be in charge of this?
Would have helped to have more provision of vocabulary to use / engage
Next year have clearer expectations, coordination with EDDI
EDDI participants/audience
Are participants usually familiar with DDI?
Arofan - ⅓ people who knew DDI, presenters; ⅓ newer people at institutions using DDI; ⅓ curious people, local people not familiar with DDI
Have tutorials clearly targeted

Webinar topic approval process: Process for Setting the DDI Webinar Series Programme-v3.docx
Fiscal vs calendar year
Currently written to calendar year
Provide option for to Alina and Hayley
Scientific Board : Hayley/Alina want them to have final approval. Do they meet often enough to allow for the necessary flexibility?
A happy with input/direction, but worried about delays
Would TWG chairs be happier with webinar series under Marketing (once it exists)? - then less under remit of Scientific Board?
But not cut TO out of loop
Webinar series its own subgroup, under Training and Marketing groups?
EDDI in-person training update
Christophe confirmed

Webinar process:
Laura’s working on it
World Digital Preservation Day event (Nov 2) - able to move webinar to this?
https://www.dpconline.org/events/world-digital-preservation-day
Are we on message or not?
Won’t work this year, but on list for future consideration
Next meeting: Friday, Sept 1
25 August 2023
EDDI in-person training proposal due Sept 4
Possible trainers from Alina:
Slovenian people and EDDI organisers, both very active in the CESSDA community :
Irena Vipavc - Irena.Vipavc@fdv.uni-lj.si - CESSDA training
Maja Dolinar - Irena.Vipavc@fdv.uni-lj.si - More involved in EDDI organizing team
Alina knows them - can help contact them once we have an outline
Kaia Kulla (kaia.kulla@stat.ee) is also an option, and she is East-European and close to the East-European community that will most likely come to EDDI. Adrian Dusa is a very good option too. You have his e-mail I think.
I was also thinking of two persons from Canada :
Alicia Urquidi Diaz - alicia.urquidi@utoronto.ca
Amber Leahey - amber.leahey@utoronto.ca
(unfortunately, neither Amber nor I (Alicia) will be able to make it to EDDI in person this year. I’ll be there in spirit (i.e. remotely).
We will be at IASSIST next year in Halifax almost with certainty (fingers crossed), and I (Alicia) will be very happy to do in-person training then.)
Also my colleague Lucie Marie could help if nobody else can - lucie.marie2@sciencespo.fr
I was thinking of Rebecca, Hayley's colleague - r.oldroyd@ucl.ac.uk
Adrian
Nos:
Alicia not in person
Hilde not keen
Jennifer arriving too late Monday
Arofan can do part, would rather split parts among others
TRAINER CHOICES
Hayley?
Another person from CLOSER?
Irena
Katja or colleague?
Adrian could use DDI TG budget to be inperson
Topic thoughts:
Using standards together (Kaia; SIKT project as example)
Highlight three standards
Showcase inhouse tools? - forward-looking stuff
Dataverse? (beyond Scholars portal) ACTION: Alicia to ask Amber for update
UPDATE: Any Canadian institution can join Borealis. Others normally can’t unless 1) sponsored by a Canadian institution, or 2) a user who is granted access to collaborate in a Dataverse through a partner institution. Partner member institutions are listed here.
ChatGPT activities
Use past moderated demos - promote existing recordings
Basic intro best for local metadata profs
Time needed?
Whole day
but may conflict with other trainings people are interested in?
Have good slides set up to use (e.g. from Stat Spain training)
Pre-conference “Come to EDDI” webinar proposal
Topic should be for beginners, per feedback from EDDI committee and TG
Have this be the intro, and in-person build on that?
OK to repeat intro from virtual training?
Trainers:
Alicia - depends on time demands, date (avail Sept 14-23, 30+)
Jennifer, DDIL
Pascal
ACTION: Arofan to work on framing
Date - Slide to October? (early bird registration ends Oct 28)
Side meeting - Hayley/Alina planning or TO?
Intended for larger Training Group
Have regular meeting hybrid
Alina to check intended planner
Webinar production process update in-group approval; to be sent to Training Group
Asking for Laura’s input (very busy)
Arofan to send to Jennifer if haven’t heard back from Laura in next few days
Webinar topics review update: Jennifer to send topics survey to Training group by Monday
22 June 2023
Attendance: Alicia, Jennifer, Adrian, Arofan, Laura
Webinar production process update in-group approval; to be sent to Training Group
Still cleaning; to finish soon
Concern: Complicated process to manage, many people want to be involved. TO WG needs final say to maintain control over deliverable
Previous version exists from Jane. Not detailed, but was followed
New to be more clear
Webinar topics in-group approval; to be sent to Training Group
NUMBERS: Four is starting point. TO CLARIFY WITH ALINA and TWG
Is the EDDI lead-in part of the four?
Online webinars easier for Laura to justify time
Alina’s comment: Developers topic a first choice
Guy at Sikt, written graph QL graph interface with python
He may be interested in running it
CDI holdover from current season; CDI out now, might be worth prioritizing now
SDTL massively undersold by alliance; not often used, not often known about?
Worth checking with devs for update
Controlled Vocab: previous was general. This one would be narrowly about DDI. Hurdle with needing involvement from CV group. Need buy-in from them before including; Check w SANDA
Tools based on tool pres from EDDI
Many requests for hands-on, e.g. through training request form on website
Not Nesstar. Dataverse?
Involve Odesi/Borealis - need to be part of Borealis community for access. Membership is an institutional process.
ACTION: Alicia ask Amber for details for entry to Borealis
FAIR is marketing thing. There are tech devs. CDI in Sikt bringing up interesting provenance questions
Smart metadata - engagement with AI; for data producer community
Data quality is hot topic. Jon Johnson just did pres in UK on reusability stats with DDI
French doesn’t need to be part of webinar project, but should exist in some form - Outreach activity - bring to marketing group?
Spanish great addition to webinar project - Outreach activity - bring to marketing?
Many requests for Dev focused things
Person using python at Sikt (see above); Larry working with R; Adrian working on this
Languages that appeal to younger crowd
Pascal at Postman working with graphQL
Hand some to marketing?
French and Spanish lang
Tools - Depending on how tools will be presenting in DDIA site, and/or existing materials
Presenting webinar topics
Bring forward with questions to Training group:
What is needed for slides over the coming year? (#11 particularly could feed into library)
Other ideas?
Some more marketing, some more training. Where is the focus?
Intro in Eng, Fr, Sp, etc seems a better marketing initiative
Others do DDI training. Where is the need? We don’t want to duplicate others’ training offers if they’re public facing. Our intention is to fill in gaps.
Bring to Scientific Board
Cleaner, clearer order of priority
ACTION: Present to TWG in next meeting. Be clear we want input.
Arofan to draft email and pass through TO group before sending to TWG
New-to-DDI conferences in-group approval; to be sent to Training Group
Add Conference uRos https://r-project.ro/conference2023.html
To be finalized via email
Feedback from Stat Spain
Notes for marketing group
Non-English-language webinars
Tools trainings and information
Reaching out to researchers and presenting DDI as attractive solution

CODATA-RDA Schools of Research Data Science debrief
Meeting about curricula
So agnostic about standards, hard to fit in DDI
Suggested at least a run-down of additional standards
Addressing agnosticism in an additional meeting – others could join this meeting, will take place later this month
Friday 23rd, 5am EST
Jennifer to attend; others interested?
Balance of value and effort
Develop list of new conferences to become involved in
Full list in progress
Social science conference list developing. Sent to TO subcommittee for review 5 June
All to review in next two weeks; to discuss and finalize next meeting
UNECE - closed conferences; Arofan invited in the past
Flavio in touch with Arofan? - Arofan to reach out, happy to be contact
Scientific board wants to establish relationship with UNECE
If contact, Arofan (and SB et al) can get a sense for what those conferences are
Meeting with Development committee
Jennifer emailed (May 15); to recontact
To recontact Sunday evening
Other updates
Arofan had chat with Jon Johnson
CLOSER working to add metadata management for longitudinal studies to UCL
Jon’s boss very keen
(Hilde) CESSDA activity on providing training to data stewards
Incorporate DDI?
Sikt involved
More info TK
(Alicia) Summer school/courses for library students Canada-wide
Intensive 1-2 weeks, modeled after the DHSI, Digital Humanities school in Victoria, but probably at a much smaller scale (e.g. single track, up to 30 students)
Summer school on RDM, focus on metadata
Great to have modules
Afternoons on specific schemas, demystify metadata standards
3 hr workshop? One on DDI
Perhaps for 2024, def for 2025
Already had interest - e.g. from an author of https://ecampusontario.pressbooks.pub/canadardm/
Current aim for library students interested in any use of digital, data
On French translations of webinars
Originally said if first effort works, we’ll do a second more detailed one
On Spanish
Should create Sp version (Alicia available to help) closer to Francophone one
Researchers in Spain who care about metadata, and other Sp language places we should reach out to
Have someone in Mexico to help
DDI users in Latin America already
Alicia has additional contacts
David Salgado a contact
Laura has additional contacts in Spain
List of proposed webinars
TC proposes Controlled Vocabulary webinar
Previous effort: DDI Controlled Vocabularies, the CESSDA Workbench, SKOS and XKOS - CODATA, Committee on Data of the ISC
CV group were not interested in participating in past; difficult to do without them
Need TC and CV to talk with each other?
Hilde and Darren involved; can talk later in summer
Alina has email, will follow up with TC
Also need translated (FR) slide(s) on CV
Want community reviewed, approved (Slide group is working on it; many slides from Sanda available but not reviewed)
DDI or XKOS CV?

Feedback : "Statistical Agencies Using DDI Metadata Standards: Promoting Transparency and Reusability of Data" on April, 14 2023
Key points:
Could do better: A lot of the information was over my head. There were process flowcharts depicted that weren't explained/walked through and I was confused. Portion I understood the best was Dan Gillman, U.S. Bureau of Labor Statistics
Could do better: More practical focus
Requested topics: (bring to developers group?)
DDI implementation in practice
How to choose elements properly in DDI in order to build consolidated XML files
The use of DDI within an end-to-end statistical production process as a metadata-driven process
Software to support the DDI processes
Interesting to learn about practical implementations, perhaps in the form of discussions for more technical audiences
Further information re: development of standardized tools and dictionaries
Need info on where to find DDI formative courses
How to build on momentum?
Combine training with tool development
ACTION: Jennifer set up meeting with Ingo and any chairs of dev group
Barkow Ingo <Ingo.Barkow@fhgr.ch>
Johan Fihn Marberg <johan.fihn@snd.gu.se>

Additional questions from Laura:
I can start the call for you if required and then hand over the host role once the call is underway, or I can give one of you the login details for the call. Please let me know which you prefer.
AG: LM to start.
Do you want participants to register for the workshop so you know beforehand who will be attending? Or do you just want a link for people to use to join on the day? If you let me know, I can arrange.
Registration needed. Cut registration day before event, LM to send list to AG day before event.
ACTION: Arofan to run date by David (cc Jared, Jennifer, Alina); ask about registration, how to disseminate/control
Hackathon and incorporating/encouraging tool development
Hackathon successful; biannual meetings planned
Demands of open-source
Needs of communities
Webinar review process update
Update : Arofan still working on it
CODATA-RDA Schools of Research Data Science
Update from Laura:
1. Would they be interested in principle in a DDI training component?
In principle, this would be a possibility in the context of the data stewards strand of the Schools. (There’s a ‘data science’ strand and a ‘data stewards’ strand.) We could take this forward by attending the public workshop on 22 May, 14-15 UTC, where they are reviewing the data stewardship curriculum and suggesting DDI materials where we think there would be a good fit. My contact at the Schools specifically encourages us to do so.
Attend meeting, and suggest where DDI might fit, maybe add-on workshop training?
ACTION: Jennifer to attend
Workshop sign up is here: https://docs.google.com/forms/d/e/1FAIpQLScH1-lnePEnoSoglnLf4GzQs6OreNfwDO_axr5uiAM5tcV_Tw/viewform - this is the same link I put in the meeting notes.
2. Are they continuing to do any Schools training online or is it all back to being in person?
"The Data Steward training in particular is likely to be mostly online. All that said, the experiential quality of face to face is much better. People are much more willing to buy into the vision if they’ve seen it done in front of them with peers. So we’ll always do face to face teaching as well.”
2b. If the latter how do they fund instructor travel?
"Right now we just shake the can and find support as we can. We try and ensure that some of the instructors and the helpers are local to keep costs down.”
Develop list of new conferences to become involved in
Identify desired audiences/topics?
Data stewardship
Developers?
Social scientists
Identify conferences/events that apply to those audiences?

EDDI Training:
______________
Online training on November 28:
Will CODATA host the webinar? Alina and Hayley will find out from Laura. Registrations will be transferred as a list of e-mail addresses from the event registration.
May need to come up with a way of holding registrations for free events open past the 2-week cut-off. Could CODATA have a "just in time" page directly into the conference system?
Arofan will take over organizing the tool panel and copy in Alina/Hilde/Hayley in the correspondance. Adrian volunteers to do housekeeping. Christophe to do introductions and moderate questions.
Timing is 1.5 hours for the presentations (incl. questions) and 1 hour for tools. This is a single long Zoom call.
Questions after presentations, and again after tools.
Francophone tutorial on November 29:
Francophone tutorial is at 2 PM for 3 hours. (Hilde, Simon Hodson, Alina, Christophe) Will meet in advance to discuss.
North American Training Proposal:

Now planned for January 25, 2023. Planning document: https://docs.google.com/document/d/1_42oaDqDOskmmecGugc6CXePZvnfK-4UbYDAi7DjrX8/edit
This looks good - follow up with Laura. (Arofan volunteers)
Training Requests Follow-Up:
_____________________________
Arofan to follow up on the recent request. Hilde has done a webinar w/ Hayley and Anja (see below). There is also some interest from Guillaume at INSEE. Christophe has a document which covers the bases, from INSEE. Possible topic for a webinar - modelling a questionnaire in Lifecycle.
"What Can DDI Do for Comparative Surveys?": https://zenodo.org/record/4584652#.Y0Qxr3ZByUk
CODATA-RDA Schools Collaboration:
_________________________________
Hilde to explore possibilities for a meeting between Training Opps (plus Hayley) and the CODATA-RDA Schools. This could be a "show-and-tell" meeting. The idea is to come up with a proposed plan of action before involving Simon H (the chair).
Getting Started:
________________
At the next Training Meeting, propose simple changes to page:
(1) Include "More Reading" list
(2) Re-arrange block of tasks into basic and Advanced (or otherwise simplify)
Not produce a new committee with lots of meetings, but focus in a limited way on the Getting Started page. Maybe dole out tasks to check if things are up to date.
A small group is being formed, per Hayley's e-mail of today. We suggest that Alina could lead this is she has time, focus on limited revision.

_______
Christophe:
From the ‘Members’ table on the DDI website, is there a way to discuss issues? Could we have a discussion forum like Modern Stats Confluence (GSIM, etc.)? Christophe will frame up a proposal. This can be presented to Training, and then possibility to the Scientific Board. Should be aligned with Ingo's ideas about the developer community.
Training requests
Arofan:
Original contact Erin. The actual meeting took place between Arofan and Ana on Thursday January 20, 2022. Ana works for Erin. They want to use DDI but not sure what (Lifecycle, Codebook). She will play a bit with Nesstar. They want to document Political opinion surveys, many running for years. They may start with CB and migrate to Lifecycle. They need to figure out what suits their needs.
Hilde:
Another Training request from Somaliland statistics department. Arofan will contact them
Possible Topics: DDI Webinar Series 2022
Possible DDI Webinar Series Topics_v2.docx
Here is an overview of the 2021 series: CODATA-DDI Training Webinars - CODATA, Committee on Data of the ISC
Questions from the SG:
Complete notes here: Possible DDI Webinar Series Topics_v2.docx
DDI Working Together with Other Standards*/How does DDI relate to other standards (SG)
A question related to "Production Flow from Existing Stats Files through DDI Codebook/Lifecycle to DDI-CDI*". Is it technical tools that should be addressed?
Arofan: Yes, the idea was to identify software for different formats and how it would fit into a work flow
AGREED - Vive les Metadonnées! A Francophone DDI Tutorial (Topic TBD)* (SG)
Q: How will translation be handled? Consistency is important across naming of specific DDI terms.
A: Cannot translate the technical names, but the definitions and documentation must be. Data librarians are a new and common group - not very technical (You need more hand holding in France for data librarians …)!
Who has bandwidth and is familiar with DDI terminology to do this?
Laura: more a matter of translating existing slide decks.
Arofan: a selection should be made
Laura: Two steps process: select slide decks that fit in the webinar format, then translate …
Alina has also already some material in French (a recorded webinar) that needs to be upgraded / revised. She wouldn’t do the same thing again. Alina will get in touch with Amber.
Hilde: This is a proposal that will indeed be realized.
Developing Community Implementation Guides for DDI-CDI* (Combine with following?)
This and the next are different/should not be combined.
Q: When is CDI being launched/when will it be available to use? Will be this spring.
Developing Community Implementation Guides for DDI-CDI* (Combine with following?)
This and the next are different/should not be combined.
Q: When is CDI being launched/when will it be available to use? Will it be this year?
Arofan: Hopefully! Should be kept as a separate event.
Survey of Implementation Examples/Use Cases for DDI-CDI (SG)
Arofan: This will go stale very fast
There will be a training project with generic material.
It doesn't have to be use cases, it can be examples.
There could be a separate part: one on patterns for implementation, the other (more frequently revised) with examples.
Let's sort priorities out .
This will be presented next Tuesday to the group and will collect feedback.
"Métadonnées in French" could take place at EDDI?
Arofan:
We plan to produce 6 out of this list in 2022
4 sprints should be done before the end of May and funding should be spent.
If we have 6 of these events, out which:
the French one is coordinated by Alina, not Arofan
the implementation uses cases does need a lot of work
working together with other standards
…
We will try to engage other people from other groups but perhaps not within this webinar series?
Admin updates Publication of Training Materials and announcement (it’s currently up-to-date and we’re free to use/promote it) https://ddialliance.org/training/training-materials
Training Fair at EDDI Call with Mari and Jon on August 26th
Draft document we used at the meeting August 9 has to be uploaded to Drive before the meeting with Mari and Jon! (Arofan & Hilde will be responsible for the final version, Marta will upload it to Drive) (DONE!)
Last version must be sent to Mari and Jon before the meeting!
Program and contributors
Now is the right time to recruit presenters, Arofan has already started it (vendors first, trainers etc. later), Adrian also volunteered ← Hilde, add him to the EDDI workshops organizers’ list!
DDI-CDI Webinar 2021
Announcement
CODATA tweet, announcements sent to several mail lists (CODATA-international list, research-dataman, data-science-training), also previous participants of last webinars. If anyone has any further ideas where to announce, then make yourselves heard!
Laura will promote it on DDI users list & DDI Training WG (+Libby?)
Hilde will send it to Mari
Arofan - srg-list
Slide deck review process
← add slides for oceanography
Training Opps Google Drive upgrade
Current agreement - official webinar series will go HERE, and everything else (regardless of the format - virtual or physical) goes HERE
Marta will clean up our Drive folder (DONE!)
Food for thought:
we should start working more with promoting/training on DDI, involve people familiar with other standards etc.
one idea: discuss it at a separate meeting for planning our activities for the next year (we should have a separate meeting for that where we make up a draft of our plans and present it to the larger group afterwards → have a follow-up meeting after getting feedback from them)
Admin updates
FAIR WEBINAR:
FAIR webinar went pretty well, not as many people as the last time, but pretty well attended (74 at the most). Pretty well received, didn't get a huge wave of
questions, slow start but then but overall pretty good (however given the time of the year, other workshops, people on holiday, etc).
To do: Satisfaction survey. Everybody can test the survey here: https://sciencespocdsp.eu.qualtrics.com/jfe/preview/SV_erNZqMVTbr6YpGm?Q_CHL=preview&Q_SurveyVersionID=current
Who is sending it ?
How much will the ‘Zoom culture’ continue? Will it change in the future? How popular will these things be moving forward.
Codata webinars: this number of attendees represent a good turnout.
SLIDE DECK STRATEGY
Jane and Anya have asked the slide deck review group to come up with a strategy about which slide decks will be made available in the library first. The full training group will input on the proposals. On a request from Dan, Hilde has sent a list of upcoming webinars, and also a list of webinar topics to discuss and cover after that.
Will see what they come up with, this is an extension of the library.
Training requests
Follow up on requests: The training opportunities group offer requesters to discuss their topics and give advice regarding DDI. One requester first wanted to document their data and then changed their mind. Alina has started to compile a spreadsheet with training requests. (https://docs.google.com/spreadsheets/d/1wcctrLc5pPp73oCHsvkSX8EBLd1xGDJ9/edit#gid=293109588 ). Some discussions have started start but sometimes people re-contact much later. Once they get the information they need, some don't need to discuss further.
One new request from Aarhus University in Denmark, she is interested in DDI Codebook and general introduction to DDI (qualitative interviews and videos). Alina is contacting her by e-mail.
Webinar reporting
WEBINAR REPORTING
For the first webinar, Arofan wrote a textual report. Jane suggested a spreadsheet-like reporting for stats, but both are good. Clash with the DataVerse conference, and similar information puts a little meaning to the number.
Possible headings for the spreadsheet report:
topic of the webinar
list it was sent to
number of people
notes
link to the presentation
Engagement, what window was on top etc. is information we have, but all of these don't fit into pure metrics. One thing worth doing is a survey, that might produce the numbers we want to record.
TEXT FOR WEB PAGES/WEBINAR DATES
Agree how to move forward with the text for the DDI web-pages and the content there. Arofan will look into this.
Alina and Laura work on a feedback survey for the webinars, as well as a list of following webinars.
It's good that DDI Alliance reuses Codata webpages. Laura to send a link for the
DDI Webinar Series Outline for CODATA page
https://docs.google.com/document/d/1hSVgI1v5ZlQQeI812AxpowmZPHUD63dTvb7Ugxg1was/edit?usp=sharing
The same basic text can be used for the webinar pages, and the only difference is dependent on the audience. The announcement for the event is usually similar.
Agree on the text from Laura's work, not compile something from scratch.
Review that document for suitability to the DDI website.
The most urgent is to agree on the date for webinar 3:
early September, Thursday 2nd as a tentative day, to be confirmed in a two weeks term (check with Codata).
We might recruit Larry and Flavio to present on this.
Peoples' names to be added on the specific webinar page, not on this document.
Adrian to deal with the questions and answers. Laura will deal with the introduction.
Next topic planned for mid-October (21st), and the next after that on early to mid November (Thursday 18th). Dagstuhl at the end of September is also a factor. This deck will be work intensive as slides are not written yet.
EDDI should also be considered. All of these are TBC.
Laura's text to be sent to Jared, after fine-tuning by Arofan. Maybe put out a call for other ideas (on
the DDI list, perhaps) and then announce it. Nice to have a list of topics. Webinar attendees to be asked for potential topics to be discussed. Marta to write an email to the DDI users list: topics are DDI related and format is usually 90 mins (and compile topics on a Google doc). Draft email to be circulated before being actually sent.
Get a general sense of what people are interested in.
Preview of the questionnaire to the webinar attendees:
IDEAS FOR EDDI
Tutorials around EDDI, usual pretty well attended. We could coordinate with other people to turn that into a training fair.
Idea: Get all the vendors (including commercial) and ask them to present their latest and greatest.
Tools event (free and commercial) together. Idea: Arofan to write an email to all creators of DDI tools we know about. For instance World Bank. They can subsequently organize birds of a feather events.
Such an event can remove one of the webinar series events, not to duplicate (the software one).
The EDDI conference needs to approve our idea. Tutorial proposals have to be submitted, but this is not a panel or a program, but an entirely different event to be coordinated with EDDI.
Training fair, not tools fair, but tools can be a part of that? Possible overlap with the EDDI tutorials.
Must check with the full meeting, early July.
Hilde to contact Barry about the questionnaire design webinar.
Other topics
Something we haven't done is to look on the technical side of things. Perhaps have a book written (O'Reilly or https://www.ubiquitypress.com/ ), search for potential contributors and a professional editor.
Minutes Training Opportunities Group June, 4 2021
One of Marta’s colleagues would be interested in joining the Training Opportunities sub group. She might attend the next meeting of the larger DDI Training Group.
Best process for documenting training requests
The proposed procedure :
To have one sheet for each request (model enclosed to this e-mail, created by Hilde).
To have one row for each contact attempt, with details and outcome. This is in line with the approach that is used to collect call record data
As an identifier, we propose the use of the SID number of the request (second column in the automated spreadsheet).
The results would be public, but not the contact attempts. These should be on Google drive.
Use a starting e-mail, provide first links to introduction materials.
TO DO Alina : provide e-mail model to answer requests. Document the process on the google drive (and store model contact forms there too).
Contact requests will be handled by :
Adele – Alina
Jessica – Arofan
Conrad – Arofan is forwarding the request to Jared, Barry
Documentation of webinars/other events
Jane proposed that the following elements would be documented for the organisation of webinars and other events:
the organiser and presenters should be in 2 separate columns. Example - last year CODATA were the organisers for a webinar which we presented at.
a column for the conference title (if applicable)
a link to the presentation in Zenodo
do you want to record the length of the presentation, that is, 3 hrs vs 20 min?
looking to the future - do you want to know in-person vs virtual?
The group thinks the number of registrants and of participants, date, duration, presentation, topic, how engaged the participants were (number of questions, for example) is enough information in order to follow our activity.
Are we asked to monitor the outreach activities or the training activities ? Need to clarify more how to work with marketing.
Minutes of DDI Training Opportunities Sub-Group, May 21 2021
Present : Alina DANCIU, Adrian DUSA, Marta LIMMERT, Marta LIMMERT, Arofan GREGORY, Hilde ORTEN, Laura MOLLOY
Welcome, MARTA !
1.Organizational – budget request handling
The sub-group needs the help of a consultant. An idea would be to contact the “Marketing Group” on this subject so that the webinar program moves forward
Decision: Contact Marketing Group.
2. Report from the Data Quality Sprint (see draft of slide deck attached the Hilde’s email from May 20 2021)
Revision went pretty well. Arofan, Hilde, Kaia and Alina were present. Hilde sent the draft revised during the sprint to the whole sub-group. The slides qualify for a 1h30 event with questions. This webinar is for autumn. Marta is willing to present the Statistics Estonia part.
3. Webinar and Sprint planning
a. DDI and FAIR webinar
Simon (CODATA) will be a presenter for the FAIR workshop. Possible dates: 17 and 18 Juin 2021.
Decision: Arofan and Simon will present, Laura will do the introduction. Alina will do the questions. Need to find a date. Arofan will talk to Simon to set up the date. Additional sprint meeting on May; 28.
Laura to send an email to the participants in the sprint on May 28 and see if we can start at 9:30/15:30
Prepare the announcement and reach out to Laura and to the Marketing Group by May 28 2021.
Also, it is important to do a rehearsal using the CODATA GoToWebinar Tool.
Post meeting comment: Timing set to Friday June 18th at 9:00 EDT/15:00 CEST/16:00 EET.
b. DDI-CDI webinar Sprint meeting
DDI-CDI Sprint on May 24. Will be working on a slide deck that Arofan and Hilde presented at EDDI 2020. A possible presenter would be Darren Bell, but it’s too early to make a decision.
Coordination with the CODATA Summer Training School? Laura thinks it would be helpful to define a specific issue we want to work on. It would probably not be a part of Core-Curriculum, but an additional track on data stewardship.
Laura can distribute the announcements of the events to the schools. She could also contact the co-chairs of the schools on these subjects.
4. Follow-up on training requests and recording of documentation
Procedure : we get in touch with people contacting us on DDI training issues.
Decision: Alina will get back to Jane with respect to GDPR issues, when it comes to reporting on the follow-up of the requests using the personal data of the solicitors.
Possible solution : provide tracks in a report (for example, listing activities we do and provide metrics. Another idea : provide the date of the follow up and action we took.
5. Confluence page for our group
Hilde is looking at it, Alina can help and/or take over.
